Duplicate entries creep into every list: email subscribers, keyword research, product codes, attendee names. They waste time, inflate numbers and can even get emails flagged as spam when the same person receives a message twice. Cleaning them takes less than a minute if you use the right method.
Method 1: A browser tool (fastest)
Paste your list into the Legend Tools Duplicate Line Remover, one item per line. Choose whether to ignore upper/lowercase differences and extra spaces, then copy the clean result. Because it runs in your browser, private lists such as customer emails are never uploaded.
Method 2: Excel
- Select the column
- Go to Data > Remove Duplicates
- Confirm the columns to check and press OK
- Excel tells you how many duplicates were removed
Method 3: Google Sheets
Select your data and choose Data > Data cleanup > Remove duplicates. Alternatively, type =UNIQUE(A:A) in an empty column to create a live, de-duplicated copy without changing the original.
Watch for hidden duplicates
- Different capitals: Ali@mail.com vs ali@mail.com
- Extra spaces at the start or end of a line
- Invisible characters copied from PDFs or websites
- Plural forms in keyword lists: 'tool' and 'tools'
Run the list through the Whitespace Remover first to trim spaces, then remove duplicates. This two-step routine catches almost every hidden copy.
Prevent duplicates next time
Use one master list instead of several copies, add data validation in spreadsheets, and clean exported lists before importing them into another app. A few seconds of cleaning saves hours of fixing later.
